Archiving a unit

When and how to archive a unit, and what happens to its history and owners.

Archiving a unit

Archiving a unit hides it from the active Units list without permanently deleting any of its history. This is useful when a unit is sold and leaves the HOA, or when a unit was added by mistake and needs to be removed from the active view.


When to archive a unit

  • A unit has been sold and is no longer part of the HOA
  • A unit was added in error and should not appear in the active list

Fourplex does not offer a permanent delete option for units. Archiving preserves the unit's full history while keeping it out of your day-to-day view.


Who can archive a unit

Only Presidents can archive or unarchive units.


What is preserved when you archive

Archiving a unit does not erase its history. All of the following remain intact:

  • Payment history and dues records
  • Service and maintenance request history
  • Documents associated with the unit
  • Activity feed and audit log

What happens to current owners

When a unit is archived, its current owners lose portal access immediately. They will no longer be able to log in and view HOA content for that unit. Their historical records are retained in the system for the board's reference.


Archived units and your plan limit

Archived units do not count toward your plan's unit cap. If you're approaching your limit, archiving inactive units frees up capacity.


How to archive a unit

  1. Go to Units in the sidebar and open the unit you want to archive.
  2. Click Archive (found in the unit detail actions).
  3. Confirm in the dialog that appears.

The unit moves out of the active list immediately.


How to unarchive a unit

  1. Go to Units in the sidebar.
  2. Use the Archived filter to switch the list to show archived units.
  3. Find the unit and click to open it.
  4. Click Unarchive.

If your HOA is already at your plan's unit cap, you'll see the plan-limit screen instead of being able to unarchive. You'll need to upgrade your plan or archive another active unit before restoring this one.
