Understand what each member role can do
What roles exist in Fourplex?
There are four roles:

The first three are board roles with elevated access. "Member" is the default for homeowners who aren't on the board.
What can the President do?
The President has full access to every feature in Fourplex:
- Manage all HOA settings (name, address, unit count, fiscal year)
- Access and send from the Inbox
- Configure billing and Stripe Connect
- Set dues amounts, due dates, and grace periods
- Invite and remove members
- Change any member's role
- Upload and manage documents
- Create and manage meetings and calendar events
- Fulfill and manage records requests
- View delinquency reports
The President is the only role that can change HOA settings and change other members' roles.
What can the Treasurer do?
The Treasurer has access to financial features and the Inbox:
- Access the Inbox
- View and manage Finances (payment history, delinquency reports)
- Configure dues amounts and due dates (billing setup)
- Record manual payments on behalf of units
- Upload and manage documents
- View and manage meetings and calendar events
- View and fulfill records requests
The Treasurer cannot change HOA settings, invite or remove members, or change member roles.
What can the Secretary do?
The Secretary has access to communication and record-keeping features:
- Access the Inbox
- Create and manage meetings, agendas, and meeting minutes
- Manage the HOA calendar
- Upload and manage documents and document folders
- View and fulfill records requests
The Secretary does not have access to Finances or billing configuration, and cannot invite or remove members or change roles.
What can a regular Member do?
Regular members (homeowners who aren't on the board) have read access to shared content and can manage their own account:
- View shared documents
- Submit records requests
- RSVP to meetings
- View the HOA calendar
- Pay dues and manage their own autopay
- View their own payment history and balance
Members cannot access the Inbox, see other members' payment information, upload documents, manage meetings, or change any settings.
Who can access the Inbox?
All three board roles — President, Treasurer, and Secretary — have access to the Inbox. Regular members do not.
Who can manage billing and dues?
- President — full billing access, including connecting the Stripe bank account and changing the Fourplex subscription
- Treasurer — can configure dues amounts and due dates; can record manual payments; cannot manage the Fourplex subscription itself
Who can upload and manage documents?
All three board roles can upload documents and manage document folders. Regular members can view documents that the board has shared with all members, but cannot upload or delete.
Who can invite and remove members?
Board members can invite new members and can remove active members. Only the President can change an existing member's role.
How do I change someone's role?
Only the President can change roles.
- Go to Members in the sidebar.
- Click on the member whose role you want to change.
- Select their new role from the dropdown.
- Save.
The change takes effect immediately. If you're demoting a board member to Member, they'll lose board-level access right away.
