Announcements
Send updates from the board to all members or just board officers, with email + member portal delivery.
Announcements
Announcements are how your board sends updates to the community. Members get them in their portal feed and via email. The board can target everyone (all members) or just board officers (board only) — board-only messages are hidden from members who aren't on the board.
How to send an announcement (board members)
- Open Announcements in the dashboard sidebar.
- Click New announcement.
- Choose your audience: All members or Board only.
- Enter a subject and write your message. Subjects can't contain line breaks (this protects outbound email from header injection).
- Click Send announcement, then confirm the recipient count in the dialog.
After sending, you can open the announcement from the list to see which recipient emails were sent and whether any bounced or failed.
How to read announcements (all members)
- Open Announcements in the member portal at
/announcements. - Unread announcements show a small dot. Click to open.
- Opening an announcement marks it read automatically — there's no separate "mark as read" button.
You'll also receive each announcement as an email. The portal version is the source of truth — if the email gets lost, the announcement is still in the portal.
Common questions
Can I edit or delete an announcement after sending?
No. Members may have already received the email and read the portal copy, so we treat announcements as a one-way send. If you need to correct something, send a follow-up announcement.
Why is "Forward to all members" gone from the inbox?
We replaced it with Announcements. The new feature gives you per-recipient send status and lives in its own surface so important board updates don't get lost between inbound emails. Clicking the old "Forward to all members" button now opens a dialog that takes you to the new composer.
What happens if a member's email bounces?
The recipient row shows Bounced in the sent detail view. The member still sees the announcement in their portal feed — only the email failed. If you see a pattern of bounces from the same address, ask the member to update their contact email.
Can members reply?
The email itself is one-way (noreply@…). Members reply through the regular HOA inbox at the org's primary email address.
Are attachments supported?
Yes — up to 10 files per announcement, max 25 MB each. Allowed types: PDF, PNG, JPEG, GIF, WebP, plain text. Files are scanned server-side after upload to confirm they really are what they claim to be (a .pdf file that's actually an executable will be rejected).
Who can see board-only announcements?
Only members with a board role: president, treasurer, or secretary. Non-board members never see these in their portal feed and never receive the email.
